Executing Process Group Activities
After planning phase of a project, the executing phase
start. During executing phase actual outputs of a project and project
deliverables are produced.
Executing process group activities help to deliver project
deliverable during executing phase.
- Execute the work according to PM plan.
Project plan has been completed and approved by the
stakeholders by the end of the project planning phase is executed throughout
the executing phase. Actions and steps planned in project management plan are
followed.
- Produce product scope.
Output of the main deliverable of a project can be a
product. Product scope is clarified in executing phase. This include the
features, characteristics, ability, etc. of the product.
- Request changes.
Changes are inevitable in a project. Although, project requirements
are finalized, and project scope is determent during planning, customer or
business might come with additional requirements or changing in existing
requirements. These changes must be evaluated and manage properly.
- Implement only approved changes.
Changes are evaluated by changes control board in projects.
Only changes that are approved by change control board can be applied in a
project.
- Ensure common understanding.
During executing phase project manager must ensure project
objectives understood by each stakeholder and everyone in the same page to
success the project.
- Use the work authorization system.
Work authorization system are generally used to assign tasks
or activities for project resources. Since this is the phase for actual
deliverables of the project are produced, activities or tasks of the resources
are assigned by the help of work authorization system.
- Continuously improve.
Better performance, better coordination, better management,
and better results should be aimed in the project. Therefor, continuously
improvement of the processes should be aimed during the executing phase.
- Follow processes.
Processes that help to deliver project outputs are followed
throughout executing phase.
- Perform quality assurance.
Quality assurance is for checking whether the producing
outputs are as the planned in the beginning and meets the project requirements.
For example, if the project is producing a new version of a car, test drive are
planned to check whether the car is safe enough to be drive.
- Perform quality audits.
This is for checking whether the quality requirements of the
project are met.
- Acquire final team.
Since is the phase of actual project work is produced and
end results are delivered to the customers, finial project team that will
perform project activities is acquired and these resources are managed. Since
there are people perform project activities and tasks, these people must be
managed throughout executing phase.
- Evaluate team and project performance.
While the team is producing outputs, performance of each
team member and overall project team performance must be evaluated. Also,
project performance such as cost performance, schedule performance, and quality
performance must be evaluated as well. If there are variation from planned
targets corrective actions must be planned, respectively.
- Hold team building activities.
Motivated people can bring success to the project. Therefor,
team building activities is play main role in project management to keep up the
motivation of project members.
- Give recognition and rewards.
Over performance or successful team member must be recognized
or rewarded. This is can be a bounce salary, additional vacation, or gift card.
By this way team members will be encouraged to perform better in the project,
and this will bring better performance in the project, respectively.
- Use issue logs.
Issue logs store the problems or actions that is need taken
by the people. Let us consider that you are working in the IT project, if your
project members team need access to data base to work under software
development activities this access request need to be logged in issue logs and
when the access is provided, issue must be resolved respectively.
- Facilitate conflict resolution.
Since executing phase is most active phase of the project in
term of project activities, it is more likely to have conflicts between people
during this phase. Conflicts must be managed properly and resolved respectively
to prevent ant negative impacts that can cause in the project.
- Send and receive information.
Project information is sent and received throughout executing
phase. For example, weekly and monthly reports are generated to inform project
stakeholders about the progress of the project. Also, most of the project
communication will take place during this phase since the major project outputs
are delivered during this phase.
- Hold meeting.
Meeting with managers, executives, and project team members
are organized. This is mainly for given information about the project and
resolving the issues if any.
- Select seller.
During planning phase procurement procedures and procurement
plan is prepared and when the executing phase comes, what purchase from which
suppliers or sellers are determent.
